PixVow offers various plans to suit different event management needs. It’s important to understand how the limits defined in these plans apply to your events and account.

How Limits Are Applied

Active Events

  • Plan limits apply across all active events on your account.
  • An active event is any event that has not been marked as Expired (i.e., the end date of the event is beyond today’s date).
If you’re subscribed to the Starter plan with a 80 guest limit, this limit is shared across all your active events. For instance, you could have two active events with 40 guests each, or one event with 80 guests.

Expired Events

  • Usage across expired events is not counted towards your plan limits. However, for PixQR media storage, there are retention periods based on your plan. Check the Pricing page for details.
After the retention period, media from expired events will be automatically deleted. Make sure to download any media you want to keep before this period ends.

Reaching Plan Limits

When you reach or approach a plan limit:
  1. An email notification will be sent to your account email address.
  2. An alert will be visible on the host dashboard for all active events.
Regularly check your dashboard for any limit alerts to ensure smooth event management.

Managing Your Limits

To effectively manage your plan limits:
  1. Remove Inactive Events: Delete active events that you no longer need to free up your limits.
  2. Regular Data Review: Periodically review and remove unnecessary guest information and media.
  3. Monitor Usage: Keep an eye on your usage across all active events.
  4. Upgrade If Needed: If you consistently reach your limits, consider upgrading to a higher tier plan.

Best Practices for Data Management

  1. Media Management: Download and safely store important media before the retention period ends.
  2. Regular Audits: Periodically review your active events and stored data.
We advise users to regularly check the data they have stored, such as guest information & pictures/videos, and remove them when no longer needed. This not only helps manage your plan limits but also adheres to good data protection practices.
